Job Purpose

We are currently seeking a dedicated and detail-oriented Billing Assistant to join our team on a part-time to full-time basis. The ideal candidate will be responsible for assisting with billing-related tasks, including answering phones, responding to emails, and maintaining accurate records. Proficiency in Excel is a must for this role, as you will be required to input and analyze data regularly.

Duties and Responsibilities

  1. Work collaboratively with operations to audit all new clients and billable client visits prior to invoice generation.
  2. Answering phones and responding to email inquiries in a professional manner.
  3. Assisting with billing inquiries and resolving customer issues promptly.
  4. Generate and deliver invoices to customers via our AXC software.
  5. Process incoming payments for client and payer accounts.
  6. Assist with client account reconciliations and issue refunds as needed.
  7. Prepare tax statements or other backup documents as requested by clients and payers.
  8. Research and solve all client questions and resolve problems in a timely and respectful manner.
  9. Support RCM projects and initiatives as directed by supervisor.
  10. Any other duties as assigned.


Minimum Qualifications:

  • High school diploma or equivalent; additional education in billing or a related field is a plus
  • Demonstratable organizational skills and attention to detail.
  • Ability to prioritize tasks and manage time effectively.
  • Proficiency in Microsoft Excel is essential.
  • Excellent phone and email communication skills.
  • Ability to work independently and as part of a team.

Working Conditions

The Billing Assistant will spend 100% of their time in an office environment indoors. This will require time both spent at a computer station for office work and standing for training.

The usual business hours for this role will be Monday through Friday 8am-5pm PDT, however this role may require overtime during projects. There is flexibility with the days and times if part-time position.

This position will have moderate supervision.

Physical Requirements

Role may require frequent standing, walking, sitting, and keyboarding. Occasional twisting, climbing stairs, stooping, bending, kneeling or squatting. Seldom work above shoulders, and operation of equipment.

Direct Reports

This position will not have any direct supervision responsibility.
